Customer Statement PDF

You can download and view customer statement PDF files, or send them to your costumers. It lists transactions such as open invoices, and open credits/adjustments that belong to your customer account.

As an AR Specialist (or an internal user), you can generate the PDF from the Statement page, by selecting the option Download Statement as PDF:

Your customers can download this PDF from their Customer Portal page by clicking on the Download Statement button:

The Customer Statement PDF shows:

  • Open invoices in their respective currency, including open credits if there are any.
  • Other invoice-related details such as the invoice's transaction date, document number, due date, days past the due date, total amount owed, payments or credits (payments or credits already applied, reducing the outstanding balance), and the remaining balance due.
  • The Total due on the Customer PDF is displayed in the same currency as the YayPay instance (currency conversions will use the exchange rates from the ERP). However, if there are invoices with different currencies under the same customer, the Total due can be shown in different currencies. 
    To enable this, check the Customer Portal - Show Total Due by the invoice currency check box in Settings | Business. This setting applies to the Customer Portal, Customer Statement PDF, and Excel files.

  • An Aging table displayed at the bottom of the page summarizes the Aging status of all the invoices due for collection. It uses the Currency configured for the YayPay application instance in Settings | Business.

  • Your Company logo (if set).


Customer Statement PDF Settings 

There are additional settings that you can configure for the customer statement PDF in Settings | Business:

  • Customer Statement PDF: Custom Text

    Define additional text in the bottom half of the customer statement PDF, e.g. to provide common instructions to all your end-customers on making bank transfer payments, etc. 

    You can use a maximum of 1 000 characters. Click on the SAVE CHANGES button to save your changes.

  • Customer Statement PDF - Include other adjustments to balances

    If enabled, any adjustments associated with the end-customer will be grouped together and displayed in a single row labeled as Other:


Other ways of accessing the Customer Statement PDF 

n addition to downloading the customer statement PDF from the Statement page or the Customer Portal web page, you can also include it as an email attachment by configuring your Collection Workflow Events & Actions.

To include the customer statement PDF as an email attachment, check the Attach Customer Statement PDF check box when configuring your rule.


Note

By checking the Attach Child Customer Statement PDF check box, the email reminder sent to the parent account will include its own customer statement PDF and also the customer statement PDFs of its associated child accounts.
