System Features

Credit Memo PDF

For customers whose ERP Connector has no possibility to pull Credit Memo PDFs directly, we extended the functionality for scraping PDFs from Emails (go to Settings > PDFs from Emails). Along with invoices, now credit memos can also be pulled from ERP:

This functionality will be useful for the users of Sage Intacct and other ERPs where there is no ability to sync PDF documents.

After the Credit Memo PDFs are synced to YayPay (by any of the supported ways - via NetSuite connector, API, CSV, Scrape from Emails functionality), they are displayed in the OPEN CREDITS tab of the Statement page. Click the reference number to view the document. Credit Memo PDFs can also be downloaded, included in workflows, reminders, etc.


Search enhancements

- Global Search: **Available July 1, 2022**

  • ERP ID added to the displayed search results
  • Ability to search by customer's contact data (email address, phone number) provided

  • Ability to search customers by Credit Memo reference number


- Search on Aging Report:

Now you can perform a search for companies on Aging Report not only by their names but also by entering the customer's ERP ID or custom fields (both ERP/CRM and System custom fields).


Aging Report

  • A new column was added to the Aging Report grid: Overdue Balance = a total amount on invoices with overdue status


  • The Aging Report Excel file now includes additional columns for customers' Local Currency Amount and Local Currency Balance:

  • New filter options on Aging Report to quickly view the set-up autopayments and saved payment methods across all the clients: 
    • Autopayment installed sub-filters: Total Due (Invoice creation day, Invoice load date, Invoice due date ), Recurring (Weekly, Bi-weekly, Monthly, Quarterly, Semi-annual)
    • No Autopayment Installed
    • Saved Payment Methods




Default Landing Page

Ability to set up a default landing page for each user of the system.



Workflows/Global Rules

New customer-level custom condition field added: Parent balance. Configure this condition for companies with parent/child relationships, also taking into account the "Parent level collections" setting.

 


To-Do page

New columns were added on the To-Do page: Billing Contact, Billing Contact Email, Billing Contact Phone #. These will allow quick reaching out to the customer.


Ability to resend an email

New Send Again action is now available from the Communications page and Customer Statement page (EMAILS tab). Upon selecting this action for an email, it is resent without changes. After successful resending, the emails with Error status become Sent.


"Customer Open Invoices Table" dynamic tag (in manual email/mail reminders) now includes only those invoices that were selected on the interface (rather than all open invoices) 


 

Payment flow enhancement

When initiating payment from the Statement page or Customer Portal, the billing information fields are pre-populated with customer's record data:


Advanced Disputes

  • Ability to upload attachments to the disputes that have been resolved
  • Consolidated mode view for disputes (parent/child relationship in YayPay) added
  • Disputes page search enhancements
  • Send Email Reminder functionality added


Credit Module

  • Credit Inquiry has migrated to the Credit menu:


  • Now you can customize the text of acceptance within your credit form template and make it mandatory/optional: 


Integration Features

  • Sage Intacct: new configuration checkbox was added that provides the possibility to allow or prohibit syncing items. When enabled, the sync duration is reduced. Only Admin users can configure this setting.
