September 2020 Release Notes

To-Do Page improvements:

  • Completed by and Date Completed columns added to the grid

For better visibility and statistics calculations, we’ve added “Completed by” and “Completed Date” columns for the closed to-do tab. Users can sort and filter by that data. Data gets updated accordingly if the to-do item gets reopened and completed again.

  • Additions to action panel (log a call, assignee, priority):

To turn a To-Do page into a real workspace, we’ve added a set of actions that user can perform directly from the list of to-do items, namely:

  1. Log a call to a customer: for one to-do item at a time;
  2. Change to-do assignee: available for one or multiple to-do items at a time;
  3. Change to-do priority: available for one or multiple to-do items at a time.
  • Ability to export Open To-Do Tasks report to Excel document

We’ve added an option to export all open to-do items to the excel file. Users can create a desired set of columns to export.

  • Automatically close invoice tasks when the invoice is fully paid

To reduce manual efforts of AR specialists, we’ve introduced an option to mark all related to-do items as completed once the linked invoice is fully paid. To enable this functionality, check the “Invoice – Complete all related To-Dos if fully paid” option in Settings => Business.

Add ability to select email recipient from the custom field(s):

Now users can configure customer-level custom fields to use those as an option in recipients drop-down in email pop-up across the system. Custom fields marked as “email recipients” are available for manual and automated reminders.

  • Ability to use a custom field as an e-mail recipient

If the checkbox Email recipient is enabled on the Settings --> ERP Custom fields page, the field becomes available for choice in the Recipient field of Workflow Reminders, Replies, customer level Email Reminders on Statement Page, Email reminder on Aging Report Page.

Sales/CS role: option to access all customers vs assigned

  • Ability to adjust Access to assigned customer only restriction for a custom security group

To provide Sales/CS managers with the option to access all customers’ information, we’ve extended custom security group settings. Now, admin can grant Sales/CS managers with access to all customers without having to assign those directly.

  1. In Settings => Security groups, create a new custom Sales/CS group;
  2. Uncheck “Access to assigned customers only” option;
  3. Add Sales/CS managers to the new group;
  4. Once logged in, Sales/CS managers can see all existing customers on the Aging Report and Invoices pages.

Ability to edit or delete notes

Option to edit or delete customer and invoice level notes on the statement in activity block -- Notes tab, or on the invoice preview page. Now, users can update existing notes instead of creating new, or delete outdated or created by mistake notes. For visibility purposes, all changes are logged against the “Activity” tab on the Statement.

  • Ability to adjust Add/Edit notes permission in Security Groups

 Parent / Child improvements:

For the businesses that issue invoices on the child-company level and collect on the parent-company level, we’ve introduced:

  • Parent-level balance column in the aging report to show consolidated balance even if there are no invoices on parent-level;
  • Parent-level aging buckets to show consolidated balance and invoices count per aging bucket and;

New columns do not depend on the consolidated mode and data is calculated for all parent-child companies.

To see new columns in UI, add them to the aging report in column picker.

New columns and data can be exported to the excel file.

  • Statement PDF - Show child invoices when consolidated WF is on

Customer statement pdf now includes all open child-company invoices along with parent-company invoices if consolidated collection workflow is applied. Child or parent company name is specified in the pdf file. Consolidated statement pdf can be included as an attachment in manual and automated reminders across the system.

Disputes - Add ability to select a dispute code/reason

To improve system visibility, statistics gathering, and reporting options, we’ve added dispute codes.

  • The list of preset codes can be found in Settings => Business;
  • Users can edit the list of codes to adjust it according to their needs;
  • Codes are required on all new disputes;
  • All existing disputes are updated with the code “Other”.
  • Dispute codes are reflected in the activity block, “Disputes” tab on the statement;

  • There are new filters on invoices and aging report pages to pull data for a specific dispute code.

System Custom Fields (Editable custom fields)

System Custom Fields allow users to tag any Customer or Invoice record and then utilize these tags across the system to generate and download custom reports, filter data on a granular level to perform required actions, etc.

  1. Ability to add system custom fields on Customer and Invoice levels
  2. Ability to assign customer level fields to single or multiple customers on the Aging Report page
